Office Administrator (Part-time)

Description

Hefring Engineering, a marine robotics start-up located on the Gloucester waterfront, is seeking a part-time (20 hours per week) Office Administrator to support our staff of engineers and scientists in effectively and efficiently building the autonomous underwater vehicle, OceanScout. The ideal candidate is highly organized and will be able to work independently, prioritizing their work with little supervision. They will ensure the office runs smoothly and also impart a bit of fun into daily life. The desire to plan or brainstorm regular team events is definitely a plus!

Your job duties would include:

  • Maintaining Accounts Receivable and Accounts Payable
  • Financial Reporting, including bank account reconciliation, bookkeeping, monthly P&L tracking
  • Purchasing, including purchase order creation and calling in credit card payments for parts
  • Payroll processing through ADP and payroll audits
  • Benefits management and related employee set-up and onboarding
  • Expense reimbursement through Expensify
  • Some shipping support
  • Liaising with corporate and health insurance representatives for renewal
  • Administrative tasks or document retrieval upon request

This is not a fully remote position and primary place of work would be the Hefring office in Gloucester, MA, however some flexibility may be extended upon a successful start. Work hours are flexible and this is a part-time position given the current size of the company, but may transition to full-time as the company grows.

Requirements

  • 20 hours work per week
  • Familiarity with accounts receivable and accounts payable management
  • Bookkeeping
  • Proficiency with QuickBooks, Microsoft Office
  • Proficiency with or ability to quickly learn payroll processing and benefits management
  • Propensity for patient and independent problem solving
  • Respect and discretion when dealing with employee personal issues, benefits questions, and needs
  • A positive attitude and team building mentality
