Position Overview:
The incumbent would perform a range of administrative duties important to the successful day-to-day operations of the organization in the areas of Accounting, Human Resources, Benefits Administration, Facilities Management, and general office support. This person will work closely with Directors and staff in all areas of the organization including Development, Education, Research and Administration. Duties are varied across all roles in an environment that is supportive and collaborative.
Major Responsibilities:
  • Manage collection of and enter vendor invoices and prepare all required documents for check runs
  • Deposit checks and prepare all required documentation for entry into accounting system
  • Prepare Operating and Money Market bank reconciliations on a monthly basis
  • Monitor bank account balances to ensure sufficient available cash
  • Create customer invoices, monitor payment and follow up on collections
  • Prepare bi-weekly payroll
  • Prepare general ledger account reconciliations
  • Assist with year-end audit preparation
Human Resources:
  • Assist with administration of benefits including adding/removing employees
  • Assist with yearly open enrollment and benefit informational meeting
  • Assist with onboarding new staff
  • Assist staff as needed with benefit and HR related questions
Operations and Administration:
  • Assist with facilities management for both locations pertaining to HVAC monitoring, repairs and maintenance scheduling, coordinating recycling efforts, and alarm system administration
  • Act as office receptionist for both locations as needed for phone calls, greeting visitors, parcel deliveries, mail retrieval, and other items
  • Manage ordering of supplies for both Main Office and Blackburn locations
  • Provide support to GMGI Research Scientists in the preparation and submission of research grant proposals
  • Assist Education staff with outside party informational requests, clerical classroom and curriculum tasks, annual licensing, and communications with students.
  • Send out donation/gift information to appropriate departments
  • Manage donation pledge paperwork
  • Assist with planning, set up and breakdown of GMGI events throughout the year
  • Other duties to support the team may be assigned.
Education and Experience
  • Bachelor’s degree in Business Management or related field and 2 years’ experience; or at least 5 years’ experience performing similar duties
  • Knowledge of bookkeeping and generally accepted accounting principles
  • Experience preparing full cycle payroll and using online payroll system (ADP Workforce Now preferred)
  • Experience using QuickBooks Online or other accounting software
  • Intermediate knowledge of Excel and other MS Office applications
  • Experience with SalesForce is a plus

  • Strong written and verbal communication skills along with a customer service orientation
  • Ability to lift up to 15 pounds
